Weddings
The Weddings page is where every wedding at your parish is planned, tracked, and recorded — from the first inquiry through the rehearsal, the ceremony, and the certificate. Sacramentum walks you through the date and time, the bride and groom's information, sacramental prerequisites, the celebrant assignment, the room reservation, and the rehearsal — all in one place.
The Weddings page
Navigate to Admin Dashboard → Sacraments & Rites → Weddings. The page lists every wedding in date order. The Filters card at the top lets you narrow the list:
- Search — find a wedding by bride's or groom's name.
- Location — show only weddings at one location.
- Status — show only weddings that are Planned, Completed, or Cancelled.
Each row shows the date and time, the location, the couple's names, the wedding type, the assigned celebrant, and a status badge. The actions on the right let you download a certificate or detail sheet, edit the wedding, or cancel it.
Click Create wedding to open the wedding dialog and add a new ceremony.
Adding a wedding
The wedding dialog is split into five tabs: Details, Bride, Groom, Requirements, and Notes. You only have to fill in the Details tab to create the wedding; the other tabs can be completed over time as preparation progresses.
Details tab
- Click Create wedding.
- Choose the Wedding type — Wedding Mass (with a Eucharistic celebration), Wedding Ceremony (Liturgy of the Word only, common for mixed marriages), Convalidation, Anniversary, or Prep only (for tracking preparation when the wedding will be celebrated elsewhere).
- Set the Status to Planned.
- Pick the Location — the church or chapel where the wedding will be celebrated.
- Optionally select Reserved rooms — additional facility rooms used for the ceremony (a bridal room, a reception space). Check Include main worship space if the ceremony reserves the sanctuary. Use Reserve before and Reserve after to add buffer minutes for setup and cleanup; the buffers appear on the events calendar so the building cannot be booked back-to-back.
- Set the Date, Time, and Duration of the ceremony. The default duration is 90 minutes.
- Assign a Celebrant (priest) and optionally a Deacon. If a visiting priest will preside, enable Include visiting clergy to add them to the dropdown.
- Configure Visibility: keep Show on admin calendar on so parish staff can see the wedding, and toggle Show on public calendar if the wedding should be visible to parishioners. For public visibility, choose Full details or Anonymous (type only) — anonymous weddings appear publicly as "Wedding" with no names.
- Click Save to create the record.
The wedding appears at the top of the Planned list and on the admin calendar.
For wedding-Mass scheduling, set Wedding type to Wedding Mass. The wedding will appear on the admin calendar as both a sacrament and a Mass, and the celebrant assignment carries through to the priest's roster automatically.
Bride and Groom tabs
The bride and groom tabs collect contact information, sacramental history, and dispensation tracking for each party. For each person you can record:
- Contact information — first and last name, email, phone, and address.
- Sacraments — dates of baptism, first communion, and confirmation, plus a checkbox if the person is a registered Catholic of your parish.
- Dispensation — the date a dispensation was requested and the date it was granted, when one is needed (mixed religion, disparity of cult, lack of canonical form).
Names entered here populate the wedding certificate and detail sheet. If a bride or groom is already in your People records, Sacramentum will offer to link the wedding to their canonical Person record — that link is what lets future sacraments and pastoral history find this wedding.
Requirements tab
The Requirements tab tracks the preparation documents and milestones the couple must complete before the wedding. New weddings are pre-populated with a Catholic preparation checklist:
- Marriage License — civil license issued by the local government.
- Baptismal Certificates — a recent (typically within six months) certificate for each baptized party.
- Pre-Cana / Preparation — completion of the diocesan marriage preparation program.
- Freedom to Marry Forms — affidavits attesting that each party is free to marry.
For each requirement, mark whether it is Required and whether the couple has Completed it. Click Add requirement to add diocese-specific or couple-specific items. The completed status of each requirement shows on the detail sheet so the celebrant can verify everything is in order before the wedding day.
Notes tab
Use the Notes tab for free-form information — readings the couple has chosen, music, special requests, attendance expectations, or pastoral notes about the family. Notes are visible to anyone with access to the wedding record.
Scheduling the rehearsal
The rehearsal is part of the wedding record itself, not a separate event. On the Details tab, scroll to the Rehearsal section to set:
- Rehearsal date — typically the day or two before the wedding.
- Rehearsal time.
- Pre-marriage attended — a checkbox confirming the couple has attended their pre-marriage interview or session at the parish.
Setting a rehearsal date and time creates a separate event on the admin calendar and the events calendar so the church or chapel is reserved for the rehearsal as well as the ceremony. If the rehearsal needs a different room — for example, the parish hall instead of the church — book that room separately under Rooms & Events rather than reserving the wedding's location.
The rehearsal event uses the same celebrant and the same wedding-party details as the ceremony, so editing the wedding automatically keeps the rehearsal in sync.
Editing a wedding
Click the pencil icon on any row to reopen the wedding dialog. Every tab — Details, Bride, Groom, Requirements, Notes — is editable as long as the wedding is still Planned. You can change the date, swap the celebrant, update names and contact info, check off requirements as the couple completes them, or move the wedding to a different room. Click Save to apply changes.
After the wedding is celebrated, change Status to Completed to lock the record into the parish register. Completed records can still be opened for reference, and you can still generate certificates and detail sheets, but day-of details like the celebrant and time are preserved as historical record.
Cancelling a wedding
If the couple postpones or cancels, click the trash icon on the wedding's row. A confirmation dialog asks you to confirm the cancellation. Confirming sets the wedding status to Cancelled — the record is preserved (so the work that went into preparation is not lost) but the event is removed from the admin calendar and the public calendar.
To reschedule a cancelled wedding, create a new wedding record. The old record remains accessible from the Cancelled filter for historical reference.
Cancelling a wedding is not the same as deleting it. Cancelled weddings stay in the parish register so the work that went into preparation, the dispensation history, and the requirement tracking are preserved. There is no way to permanently delete a wedding from the system.
Generating wedding documents
From any wedding's row, two icons in the actions column generate PDFs:
- Download icon — generates the Wedding certificate, suitable for the couple, the diocese, or the parish register.
- File icon — generates the Detail sheet, an internal printout for the celebrant or wedding coordinator listing every detail of the wedding: names, contact info, requirement status, rehearsal time, and any notes.
Both PDFs use the bride's and groom's last names in the filename so they are easy to file. They use your parish's branding configured in Settings.
Print the detail sheet the morning of the rehearsal and bring it to the church. It pulls together everything the celebrant and the wedding coordinator need on one page — names, prep status, music, readings, dispensation status, and pronunciation notes from the Notes tab.
Viewing weddings on the admin calendar
Every planned wedding shows on the Admin Dashboard → Calendar with its own color and a small wedding icon. Click the tile on the calendar to jump straight back into the wedding dialog. Cancelled weddings do not appear on the calendar; completed weddings remain visible on the date they were celebrated as part of the historical record.
The events calendar under Rooms & Events shows the same weddings alongside other facility bookings, so a wedding scheduled at noon will visually conflict with any other event reserving the same room or main worship space — making double-bookings easy to spot before they happen.
