AdminChat
AdminChat is an AI assistant for parish administrators powered by Anthropic's Claude. Ask it questions in plain English or Spanish and it will look up the answers from your parish records — pending intentions, upcoming Masses, priest payouts, baptism candidates, wedding details, and more. It is conversational, understands follow-ups, and only ever sees data from your own tenant.
The AdminChat page
When AdminChat is enabled for your parish, an entry titled AdminChat appears near the bottom of the admin sidebar with a sparkle icon, just above Settings. Click it to open the chat.
The page has two areas:
- Conversation panel (main area) — the active chat with a message list, an input box at the bottom, and a header showing the title of the current session.
- History sidebar (right edge) — past conversations grouped by Today, Yesterday, Last 7 days, Last 30 days, and Older. Click any entry to reopen that conversation. Use the toggle in the chat header to show or hide the sidebar.
If no conversation is active, the page shows a welcome screen with three suggested starter questions you can click to send. A short disclaimer appears under the input box reminding you that AI responses can occasionally be wrong and should be verified for critical decisions.
Enabling AdminChat for your parish
AdminChat is opt-in and depends on a configuration check at the parish level. If the entry does not appear in your sidebar, AdminChat has not been enabled for your tenant. Contact Sacramentum support at support@sacramentum.app to request activation.
When activated, AdminChat is available to any user with administrator access. Individual admins do not need to be enrolled separately — turning it on at the tenant level makes it visible in the sidebar for everyone with admin permissions.
AdminChat requires an Anthropic API key configured server-side and a parish-level feature flag. Both are managed by your Sacramentum administrator and are not exposed in the parish settings UI.
Asking questions
Type a question into the input box at the bottom of the conversation panel and press Enter to send (use Shift + Enter for a new line within your message). The assistant streams its reply in real time and shows a small "thinking" indicator while it works.
When AdminChat needs to look up data, it briefly displays the tool it is using — for example "looking up intentions" or "checking Mass schedule" — as a small chip beneath your message. You can keep asking follow-up questions in the same conversation; the assistant remembers what you have already discussed.
A few example questions that work well:
- "How many Mass intentions are pending approval right now?"
- "Show me upcoming Masses for next week without intentions assigned."
- "What is the breakdown of intention statuses for this month?"
- "List the active priests at our parish."
- "How much have we collected in stipends this year, and what is still owed?"
- "Find baptism candidates scheduled in the next 60 days."
- "Summarize this week's wedding rehearsals."
The starter buttons on the welcome screen are good first prompts — for example, asking about the count of pending intentions, the upcoming week's schedule, or a status breakdown.
AdminChat is conversational. After asking "How many intentions are pending?", you can simply ask "Now show me the oldest five" — the assistant carries the context forward without you needing to repeat yourself.
What AdminChat can do
AdminChat reads from your parish data through a focused set of lookup tools. It can:
- Query Mass intentions (counts, status breakdowns, upcoming, by priest, by requester) and look up a specific intention by ID.
- Query the Mass schedule, confession schedule, and memorial events by date range, location, or priest.
- Check Mass availability — which slots are still open over a given period.
- List priests at your parish.
- Query receipts, invoices, and priest payouts, with totals and breakdowns by status.
- Summarize stipend funding — what has been received versus what is still owed.
- Look up people and households by name or ID.
- Pull details on Gregorian Mass series, baptism candidates, weddings, funerals, and quinceañeras.
AdminChat is read-only. It does not currently create or modify records — it cannot schedule Masses, approve intentions, or change settings on your behalf. Use it as a fast research and reporting layer; for changes, navigate to the relevant admin page and act there.
Responses are formatted with Markdown — lists, tables, headings, and code blocks render properly in the chat. You can copy any message to your clipboard with the copy icon that appears when you hover over an assistant reply.
Managing sessions
Each conversation is saved as a session in the history sidebar. The session title is generated automatically from the first exchange so you can find past conversations at a glance.
- Start a new session — click the New chat icon in either the chat header or the history sidebar header. Your input clears and the message list resets.
- Resume a session — click any title in the history sidebar to reload that conversation in full, including the original answers and tool usage.
- Delete a session — hover over a session in the sidebar, click the more-options icon, and choose Delete. A confirmation dialog appears before the conversation is removed permanently.
- Stop a response — while AdminChat is generating a reply, the send button becomes a stop button. Click it to cancel the in-progress response.
The right sidebar can be hidden if you want a wider conversation view. Toggle it from the icon in the chat header; your preference is remembered across sessions.
Privacy and tenant isolation
AdminChat is strictly tenant-scoped. Every query the assistant runs is automatically constrained to your parish's data — it cannot read intentions, people, or finances from any other parish on Sacramentum. Conversations are stored per user and are not shared across admin accounts.
Your messages and the assistant's replies are sent to Anthropic's API to generate responses. Avoid pasting sensitive personal information that goes beyond what is already in your parish records (for example, do not paste credit card numbers or passwords into the chat). The assistant also does not have access to email content, file attachments, or anything outside the parish database.
AI replies can occasionally be wrong, especially for numerical totals or aggregate counts. The disclaimer under the input box appears for that reason. For decisions that depend on exact figures — payouts, canon law deadlines, sacramental status — verify the answer against the corresponding admin page before acting on it.
